Summary

The Administrative Assistant to the General Manager will provide high-level administrative support to the executive team / onsite General Manager, ensuring efficient operation and coordination of the office. This role requires excellent organizational, communication, and time-management skills, along with the ability to handle sensitive information with discretion.


Main responsibilities

  • Manage the executive’s calendar conjunction with executive assistant from the UK, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate and facilitate meetings, including preparing agendas, taking minutes, and following up on action items. Serve as the primary point of contact between clients and General Manager
  • Screen and direct phone calls, emails, and other communications to appropriate parties.
  • Draft and proofread emails, memos, and other communications on behalf of the executive.
  • Maintain office supplies inventory by checking stock to determine inventory levels, anticipating needed supplies, and placing orders.
  • Ensure the executive office is well-organized and presentable at all times.
  • Handle and prioritize all outgoing or incoming correspondence (emails, letters, packages, etc.)
  • Assist with special projects as needed, including research, data collection, and report preparation.
  • Coordinate logistics for events, conferences, and business meetings.
  • Track and manage various projects, ensuring timely completion and alignment with the executive’s priorities.
  • Handle confidential information with the utmost discretion and integrity.
  • Ensure compliance with company policies and procedures regarding information security and confidentiality.
  • Handles HR & administrative functions as necessary

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to multitask and prioritize tasks effectively.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • High level of professionalism and confidentiality.
  • Proactive and self-motivated with a strong work ethic.
  • Adaptable and flexible with the ability to work under pressure.
  • Positive attitude and strong interpersonal skills

Skills/experience

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Proven experience as an administrative assistant, executive assistant, or in a similar role.
  • Experience in supporting senior-level executives is highly desirable.
